FOLLOW-UP (Organisation of the project)
The project manager will be your dedicated contact. He will accompany you throughout the entire process of the event.
BRIEF OF THE FIRST MEETING
A key step in the process, the brief allows the client to express his requirements and suggestions. The project manager offers clear solutions for each element of the project.
FIRST CONCEPT PLAN
Development of a first implementation plan from the meeting. Using the software Turbocad allows successful exchange of files without risk of errors.
VALIDATION OF THE SITE PLAN
The client validates the site plan before proceeding to the second step: the choice of materials and the assembly plan etc.
MATERIALS AND QUANTITIES
The materials are chosen according to the preferred requirements, colours and costs. An estimate of the quantities is given.
Day -15 to Day - 10
THE ASSEMBLY PLAN
The assembly plan is created according to the exhibitors list supplied by the customer and the estimated quantities are transmitted to the technical department.
VALIDATION OF INTERVENTION PLANNING
All the services come together to set up a project schedule and retro-planning to allow perfect team work and synergy.
DURING AND AFTER
During
SET UP OF THE MAIN INSTALLATION
The various elements are sent to the event site the day prior to setting up, without any problems due to our onsite presence. They are installed according to the plan instigated by the design office.
RECEPTION, CONTROL AND VALIDATION
The customer validates the installation and the final quality of the product in the presence of the project manager if necessary.
ADJUSTMENT AND SUPPLEMENT MANAGEMENT
The events industry is often subject to last minute unexpected changes.
EXHIBITOR ARRIVAL MANAGEMENT
Organisation and control of exhibitor flow and putting in place contingency plans for the unexpected.
OPENING OF THE EVENT
After a final check, the event opens it’s doors. A technician does a tour every morning.
TECHNICAL TEAMS PRESENCE
During the duration of the event our project managers are accompanied by electricians, fitters and floor carpenters.
AFTER : Day + 12 to Day + 15
DISASSEMBLING & STORAGE
After the event, our teams dismantle the complete stand/equipment, arrange transportation and store back in our warehouse.
DEBRIEF
After the event, the team leader and the project manager go through the additional services. Then, a debriefing is organised to collect the feedback of the client and his comments in order to improve our services.
Technical presence
Process
Your EVENTEK contact is present during the entire period of the event, with technicians specialised in flooring, tapestry, electrical installation and assembly in order to respond efficiently to any problems that may occur
Gathering Information
Your operational managers inform the EVENTEK project manager about the event details so that he can organise the plans to be carried out effectively by his technicians.
On site presence
Carried out within a maximum of 4 hours (enough time to transport the missing additional materials if necessary).
Presence
Arrival of exhibitors:
The presence of the project manager and technicians throughout the exhibitors arrival period (Day-3) from 9:00 a.m. to 7:00 p.m.
Opening:
The project manager will be present from morning until noon with his team of technicians.
During the event :
A technician will make a daily pass of at least 2 hours every morning before opening to ensure the smooth running of the event.
During the event, the project manager is at your disposal if you need urgent support.
Our technicians always work within safety guidelines
All our teams adhere to high safety standards.
The use of professional tools and suitable methods are essential:
– Safety shoes
– Relevant licences – machinery, HGV etc.
– Helmets, if necessary
– Clothing adapted to security measures
During each set up, we transmit safety constraints with a certificate of conformity/assembly of all the materials supplied.
